The Executive Assistant will provide high level support in the Communications function to the Vice President of Communications and the Rosslyn-based communications team. Assistant will perform a wide variety of administrative tasks within this dynamic organization. The ideal candidate will be detail-oriented, highly accountable, and able to anticipate the needs of the leaders to streamline the workload. The Executive Assistant will need to be an expert in the Microsoft Office Suite.

Responsibilities include but are not limited to:
• Manage calendars, meeting schedules and coordination with internal and external customers
• Communications – electronic/phone/greeting visitors
• Coordinate domestic/complex international travel arrangements and complete expense reports; understanding of security processes for international travel
• Attend conference calls and meetings, as required; capture actions and maintain action list to ensure follow-up
• Coordinate materials prior to meetings and ensure pre-briefs are set up prior to, when appropriate
• Operate office machinery and/or personal computers
• Input and retrieve data from various company systems and applications, e.g., shared RSpace, eRooms, Media Logs, eNews distribution logs
• Generate charts, tables, memoranda, reports, correspondence, and other materials with speed and accuracy
• Interface with senior level external and internal customers
• Coordinate and host customer visits, as well as support visiting executives
• Status action items, ensuring deadlines are met
• Coordinate publication of regular reporting
• Establish detailed knowledge of the Business Development Leadership Team and Communications Leadership Team members, center locations, and assigned positions; develop and maintain excellent working relationships and communication channels with other executive assistants
• Manage and maintain corporate publications and subscription database
• Order and maintain office supplies
• Assist with onboarding new employees/transfers into communications department; office and computer set-up
• Overtime may be required
  Required skills: • A minimum of six (6) years professional administrative experience with demonstrated experience supporting a senior leader in a large organization • Demonstrated experience with handling confidential and non-routine information • Demonstrated experience with calendar management, meeting scheduling and coordination, preparing/reconciling expense reports, and being able to compile and prepare data reports • Expert with Microsoft Office Suite tools (MS Word, Power Point, Excel, etc.) • Demonstrated experience in planning and coordinating complex international travel • Demonstrated experience planning and organizing schedules and events • Demonstrated experience of effectively interacting with senior levels of leadership • Demonstrated experience handling multiple tasks concurrently and making quick decisions in a fast-paced environment • Demonstrated ability to anticipate requirements/actions • • Strong interpersonal skills • Understanding of on-boarding of new team members Desired skills: • Demonstrated office management experience • Demonstrated knowledge of Raytheon Policies and Procedures (Business Travel, Business Courtesies, etc.) Required education: • High School diploma required
